The Payroll Analyst will provide operational and administrative support to the Payroll and HR departments, ensuring accurate payroll processing, data integrity, compliance with labor regulations, and continuous improvement of internal processes. This position requires at least one year of hands-on payroll experience and is ideal for individuals committed to growing their career within Auxis.
Perform payroll projections, pre-payroll validations, and final payroll report audits.
Lead the biweekly payroll closure process ensuring the accurate inclusion of all incidents and required adjustments.
Process and audit all payroll incidents (overtime, sick leaves, bonuses, commissions, subsidies, AFC, AVP, and other adjustments).
Manage the timely inclusion of all types of incidents into the biweekly payroll processing.
Administer deductions for payroll processing, including legal discounts, wage attachments (libranzas, pagarés), and voluntary savings.
Manage and process all employee administrative changes affecting payroll (bank accounts, salary adjustments, benefit enrollments, promotions, terminations, resignations, etc.).
Calculate and review payout processes for terminations, resignations, and settlements.
Prepare, manage, and issue severance (cesantías) certificates and documentation.
Audit and confirm final payroll reports and ensure successful TXT uploads to the bank platform.
Notify of new hires and ensure documentation is properly uploaded for legal registrations and payroll activation.
Review and submit social security payment reports and assist in the validation of PILA platform contributions.
Manage special processes such as annual "Primas" and "Cesantías".
Identify opportunities for process improvement in payroll operations, documentation, and reporting.
Confirm monthly payroll closures after final audit and payouts review.
Review timesheets and validate entries regarding overtime, sick leave, and absences.
Monitor and follow up sick leave reimbursements.
Maintain updated trackers of all payroll incidents for audit and reporting purposes.
Maintain updated lists of payroll and benefits vendors, including service agreements and contact details.
Prepare and log notifications related to new hires, deactivations, and updates with benefits providers.
Review, approve, and include benefits incidents in payroll (e.g., deductions for beneficiaries, new enrollments).
Validate and process benefits invoices ensuring accuracy and compliance.
Conduct market research to identify potential new vendor alliances for employee benefits.
Support company initiatives related to alliances and benefits through payroll deductions.
Report new hire and active employee bank account information.
Follow up and audit bank account approvals.
Audit the successful application of salary payments.
Prepare and validate internal payroll compliance reports and maintain documentation organized.
Handle DL (Payroll) consultations and escalate complex cases.
Support internal and external audits by providing accurate payroll and benefit information.
Respond to payroll-related inquiries from internal staff.
Ensure timely and professional resolution of payroll and benefit issues.
Bachelor’s degree (or final-year student) in Accounting, Finance, Human Resources Management, or related fields.
Minimum 1 year of direct experience in payroll processing, highly desireable a minimum of 1 year in HR administration, or finance operations.
Proven experience handling payroll incidents, terminations, benefits administration, and employee changes in the payroll systems.
Experience supporting validation processes related to PILA contributions, payroll reports, and UGPP compliance is a plus.
Advanced Excel skills: VLOOKUP, pivot tables, IF statements, conditional formatting, data validation, and error checking.
Proficiency in Microsoft Office 365 (Outlook, Teams, OneDrive, Word, and Excel).
Familiarity with HRIS platforms and payroll software (e.g., UKG, SAP HR, Meta4, Novasoft, or similar).
Strong capability to audit and cross-validate HRIS data against payroll system reports.
Solid understanding of Colombian labor law, payroll tax regulations, and social security contributions.
Ability to manage and validate deductions, benefits incidents, severance, bonuses, and overtime calculations accurately.
Exceptional attention to detail and commitment to data accuracy.
Strong analytical and auditing skills.
High ethical standards, integrity, and professionalism in handling confidential information.
