Job Summary

As an Interview Scheduling Coordinator, you will play a vital role in supporting our client’s recruitment process by coordinating and scheduling interviews for candidates with hiring managers and interview panels. Act as the point of contact between candidates and hiring managers. Your efforts will contribute to creating a positive impression on the candidate’s experience and recruitment process.

Responsibilities

 

  • Scheduling Interviews: Coordinate and schedule interviews with candidates, hiring managers, and interview panels, considering availability and preferences.
  • Candidate Communication: Act as the primary point of contact for candidates, providing clear and timely communication regarding interview details, directions, and any necessary logistics.
  • Interview Preparation: Ensure that all interviewers and candidates have the necessary information, such as interview questions, candidate resumes, and interview schedules.
  • Interview Room Setup: Arrange interview rooms, ensuring they are clean, organized, and equipped with necessary materials, such as whiteboards, video conferencing equipment, and interview forms.
  • Technology Support: Assist with setting up and troubleshooting any technology required for virtual interviews, including video conferencing platforms.
  • Candidate Experience: Provide an excellent candidate experience by welcoming candidates, offering assistance, and ensuring they have a positive and professional experience throughout the interview process.
  • Compliance: Ensure that all interview scheduling and coordination activities adhere to company policies and legal compliance requirements. Proficient with case management systems and experience with achieving KPI targets.
  • Record Keeping: Maintain accurate records of interview schedules, candidate feedback, and any necessary documentation related to the hiring process.
  • Feedback Collection: Gather feedback from interviewers and hiring managers regarding candidates' performance and share it with the appropriate stakeholders.
  • Process Improvement: Identify opportunities for process improvements and efficiency enhancements in the interview scheduling and coordination process.
  • Collaboration: Closely collaborate with multiple executive administrative assistants to understand scheduling needs, preferences, and availability, and ensure seamless coordination and scheduling.
  • And any other tasks assigned.

Skills and Experience

 

  • 1-3 years of experience in scheduling, administrative support, recruiting coordination roles, or similar (coordinating meetings or events in a fast-paced, high-volume setting and handling complex scheduling across multiple time zones in the USA and with senior stakeholders).
  • English – Spanish Language English level: C1 (Oral and writing 90 % or higher).
  • High School Diploma (GED).
  • Proficient with MS Office tools.
  • Ability to work independently in a fast-paced environment and to handle multiple, competing priorities.

Preferred Qualifications

  • Completed or ongoing studies in Psychology, Business Administration or Human Resources.
  • Technical high school diploma in Business Administration or Human Resources.
