Job Summary

The Junior HR Analyst supports the Human Resources team by assisting with administrative processes and maintaining accurate employee records. This entry-level role provides day-to-day support for onboarding, employee status updates, documentation, and other basic HR functions. The Junior HR Analyst ensures compliance with company policies and contributes to maintaining an organized and professional HR operation.

Responsibilities

Key Responsibilities:

 

HR Documentation and File Management

 

  • Maintain and update basic employee records and files, both digital and physical.
  • Ensure the confidentiality and integrity of HR files and records.
  • Archive confidential and legal documentation for all employees.

 

Employee Inquiries and Support

 

  • Provide first-level support for general HR-related questions.
  • Escalate complex questions to senior HR staff or management.

 

New Hire Process

 

  • Manage new hire processes, including data entry into HR systems, creating digital files, and auditing for accuracy and compliance.
  • Handle termination processes, including coordinating exit checklists, deactivating access, and processing termination data.
  • Process employee status changes, approvals, and acknowledgments.
  • Manage employee codes, bank account activations, and deactivations.

 

Onboarding and Training

 

  • Participate in onboarding activities and conduct training audits.
  • Support tracking of training attendance and maintaining records.

Performance Management and Employee Engagement

  • Provide administrative support for recognition and performance programs.
  • Schedule regular performance review meetings.
  • Maintain performance improvement plans and warnings.

 

Special Projects and Events

  • Assist in planning and executing special HR projects and events, such as benefits enrollment, organization-wide meetings, and employee recognition events.
  • Provide support for HR projects as assigned.

 

Skills needed:

 

Technical Skills

 

  • Proficiency in HRIS systems (e.g., Ultipro, UKG).
  • Strong MS Office skills, particularly in Excel and SharePoint.
  • Ability to learn HR systems quickly.

 

Interpersonal Skills

 

  • Strong communication skills for interacting with employees at all levels.
  • Ability to handle confidential information with discretion.
  • Excellent organizational skills and attention to detail.

 

Problem-Solving Skills

 

  • Ability to address routine HR inquiries and escalate complex issues appropriately.
  • Capability to manage multiple tasks and prioritize effectively.

 

Project Management Skills

 

  • Experience in planning and executing HR events and special projects.
  • Ability to track and manage budgets for HR programs.

 

Analytical Skills

 

  • Ability to analyze HR data and generate reports.
  • Proficiency in conducting audits and ensuring compliance with policies and legal requirements

Skills and Experience

 

    • High School Diploma.

    • Technical Degree in Human Resources, Business Administration, Bilingual Shared Services, or a related field.

    • English–Spanish proficiency (oral and written) at B2 level (80%) or higher.

    • Previous work experience is not required. Prior Human Resources experience or internships are considered a plus.

    • Basic knowledge of Microsoft Office applications (Word, Excel, and Outlook).

    • Basic understanding of or interest in Human Resources Information Systems (HRIS).

    • Strong attention to detail and organizational skills.

    • Excellent interpersonal skills and the ability to handle confidential information with professionalism.

    • Ability to work in a dynamic environment and adapt to changing priorities.

    • Willingness to learn and develop technical knowledge in Human Resources.

    • Availability to work during standard business hours, and employees are expected to work on-site as required.

    •  Employees may become eligible to work from home up to two (2) days per week after completing training and demonstrating proficiency in the role.
